Belvidere Community Unit School District 100 Board of Education Business Services Committee met Sept. 3.

Here are the minutes provided by the committee:

Committee Members in Attendance: Tom Bucher, Jorge Herrera, Jo Ann Armstrong, Kelli Balsman, Colleen Griffith, Wendy Taylor, Cassandra Schug

Meeting called to order at: 5:33pm 

Committee Expectations:

A.1. Strategic Plan Update - Goal 5

Administration provided a review of the District's progress to achieve the goals of the strategic plan. The Business Service Committee focuses on Goal 5: Operational Resources. 

This monthly presentation, the District's Scorecard, and the Schools' Scorecard provide key updates about the school district's progress to implement the strategic plan.

A.2. Microsoft Renewal

l It's time to renew Distric 100t's annual Microsoft licensing agreement, which covers essential software for our desktops, servers, and office productivity. 

To ensure our district remains equipped with the latest Microsoft tools, we must renew our licensing agreement. 

For a one year renewal, the district is looking at $49,010.65.

A.3. Annual Audit Update 

The fieldwork for the 2024 annual audit is complete and resulted in no findings. The federal programs audit work will begin in October. The auditors were pleased with the state of the district records and the level of preparedness of the financial records. They expressed the District's robust use of Skyward was impressive and resulted in a significant reduction in time spent on fieldwork. Having all invoices and deposit documentation scanned within Skyward allowed them to verify selected transactions quickly and with minimal downtime. Gorenz and Associates LLC has tentatively scheduled the audit presentation to the Board for the October 21, 2024 board meeting.

A.4. Excess Property Disposal 

The committee received requests for property disposal and reviewed.

First Student:  

Question was asked about how many school buses have air conditioning. 

Student coffee stations at high schools.

Equipment for coffee stations have been ordered.
