Village of Pecatonica Public Works Committee met Oct. 7.

Here are the minutes provided by the committee:

1. Call to Order- The meeting was called to order by Committee Chairman Gipe at 6:00 pm on Tuesday, October 7, 2024.

2. The Pledge of Allegiance to the American Flag was recited

3. Roll call – Chairman Tom Gipe, and Trustee Bill Determan were present. Trustee Hardy was absent

Also, in attendance –Public Works Director Nick Berry, Jason Stoll Village Engineer, Village Clerk Darla Stram, Trustee Cheryl Bean, Administrative Assistant Jordan Hartman, Jameson Fox, and Nicole Crown.

4. Additions or Corrections to the Agenda - None

5. Approve the Agenda

A motion was made by Trustee Determan and seconded by Trustee Gipe to approve the agenda. No discussion. A roll call vote was taken. All in favor. Motion approved 2-0-1.

6. Public Comment – None

7. Approve the September 3, 2024, Public Works Committee Meeting Minutes and the September 23, 2024, Special Public Works Committee Meeting Minutes.

A motion was made by Trustee Determan and seconded by Trustee Gipe to approve the September 3, 2024 Public Works Committee Meeting Minutes as presented. No discussion. A roll call vote was taken. All in favor. Motion approved 2-0-1.

8. Review letter and discuss with possible recommendation to the Full Board, a request from Patricia Fox for possible reduction on the sewer portion of her August 2024 water bill.

Jameson Fox requested consideration for a reimbursement for the $75 sewer charge from a hose being left on after a company power washed. Trustee Determan makes a motion to send this to the full board for consideration, Trustee Gipe seconded. No Discussion. A roll call vote was taken. All in favor. 2-0-1.

9. Review and discuss a request from Tyler Crown for a possible reduction on the sewer portion of his August 2024 water bill.

Nicole Crown explained their situation and presented the police report stating that their outside water hose was turned on when they were out of town. Nicole is requesting consideration for a reimbursement for the $170 sewer portion of their August 2024 Water Bill. Trustee Determan makes a motion to send this to the full board for consideration, Trustee Gipe seconded. No Discussion. A roll call vote was taken. All in favor. 2-0-1.

10. Update on Lead Line Service Project

Jason Stoll presented a spreadsheet showing the number of houses that are already completed. They plan to complete eight services a week at this point. He also presented his over/under budget on the completed services with most services being done under budget.

11. Update on Well #3

Darla explained that we sent the credit application to the company for the rental of the road ramps. Once all that is approved, we can get them here within 1-2 weeks. They are hoping to have the chlorination and flush complete within 2-3 weeks. Jason to look further in to the warranty and extended warranty option on the parts already installed.

12. Update on repairs for Sludge Press and Clarifier

Nick discussed that the sludge press was fixed on Friday October 4. The total cost associated with those repairs is around $3,500. The clarifier repair isn’t much of an update on. Nick to send pictures to the manufacturer.

13. Public Works Report

None, all discussed in numbers 11-14.

14. Update on pumps for Scum Pit

Nick discussed the costs involved with the pumps for scum pit. Nick believes we should stick with the chopper pump. Nick will get more complete quotes and information on warranty on both options; rebuild and new.

15. Engineer’s Report

Jason discussed the need to begin a streets project plan to begin next year. He believes we should start a maintenance program or a 5-year plan to extend the life of our newer streets.

16. Next Meeting is on Monday October 7, 2024

17. Adjournment.

A motion was made by Trustee Determan and seconded by Trustee Gipe to adjourn the meeting. All in favor. The meeting adjourned at 6:54 pm.
